1. Introduction
Welcome to FlowLearn. We respect your privacy and are committed to protecting your personal data. This privacy policy will inform you as to how we look after your personal data when you visit our website (flowlearnstudio.com), use our digital adoption platform, and utilize our Chrome Capture Extension.
2. Data We Collect
We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:
- Identity Data:Includes first name, last name, username or similar identifier.
- Contact Data:Includes email address and billing address.
- Financial Data:Payments are processed securely via Stripe. We do not store your full credit card details on our servers.
- Usage Data:Includes information about how you use our website, platform, and interactive walkthroughs.
- Extension Data:When utilizing the FlowLearn Chrome Capture Extension, we collect screenshots of your active browser tab, clicked HTML/CSS selectors, and basic interaction data to automatically generate your walkthroughs.
- Learner Identity & ROI Data:If you distribute walkthroughs outside of an LMS, you may enable an Identity Gate to collect learner email addresses. Furthermore, authors may upload internal business KPI data (via CSV) to correlate training effectiveness. This data is isolated to your workspace, encrypted at rest, and is never shared, sold, or utilized for marketing purposes.
3. How We Use Your Data
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
- To register you as a new customer and provide access to the FlowLearn studio.
- To process and deliver your subscription, including managing payments via Stripe.
- To manage our relationship with you, including notifying you about changes to our terms or privacy policy.
- To aggregate analytics regarding learner engagement within your published walkthroughs.
4. Data Security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
5. Third-Party Services
Our application integrates with third-party services to function effectively, including Stripe (for payment processing) and Supabase (for database hosting and authentication). These providers have their own privacy policies addressing how they use your information.
6. Secure Redaction & Data Destruction
FlowLearn provides tools to manually redact sensitive data (PII) within the Studio. Once a redaction is applied, we utilize a permanent burn-in process that creates a new, safe asset and triggers the immediate, irreversible destruction of the original unredacted file from our storage servers.
7. Enterprise Data Sovereignty & BYOS
Customers may opt to utilize 'Bring Your Own Storage' (BYOS), routing all captured visual assets directly to customer-controlled AWS S3 buckets. When configured, our tools (including the Chrome Extension) securely upload files directly to your bucket, meaning those image assets completely bypass our proprietary storage servers.
